Who we are
Swap SMP is a Minecraft server run by the server operator. We are the controller of the personal data described here, under the UK General Data Protection Regulation and the Data Protection Act 2018.
You can contact us about anything in this policy at the contact email.
What we collect
When you apply. The application form asks for:
- your Minecraft username, creator name, Discord username and email address
- your time zone
- your main platform, channel link, audience size, the kind of content you make and your schedule
- how often you can play, what you would make content about and your first episode idea
- your agreement to the server rules
When we send you the mod. If you are accepted, we email you a one-time download code. We keep your email address, the name we addressed you by, when the code was made, when it expires, whether it was used or cancelled and whether the email was delivered. We keep only a fingerprint of the code, never the code itself. Each copy of the mod you download carries a random tag, so a leaked copy can be traced back to the code it was issued for.
When you activate the mod. The first time you start the game, you enter your code again. The game asks Mojang to confirm which Minecraft account you are signed in with (it never sees or sends your password), and we record that account's username and ID against your code, with the date and the tag of the copy you used. Each time you join the server, the server checks your account ID with us. To stop people guessing codes, we count attempts from each connection for 15 minutes, using a fingerprint of the IP address rather than the address itself.
When you play. If you are accepted and join the server, the server records your Minecraft username and account ID, the IP address you connect from, what happens in game (for example your inventory, stored powerups and whether a session modifier affected you) and chat and command logs.
When you visit this site. The companies that host the site and deliver its fonts and code libraries receive your IP address and basic browser details so they can send you the page. We do not run analytics or advertising trackers.
Why we use it
- To review your application and contact you about it. We rely on our legitimate interest in choosing creators for the server, and on the steps you ask us to take by applying.
- To make sure only accepted creators can use the mod and join. Your activation record lets the server check that your account is allowed in, and the download tag lets us find out where a leaked copy came from. We rely on our legitimate interest in keeping the mod and the server private.
- To send accepted creators the mod. We email your download code and keep a record of it so the code works only once and only for you. We rely on our legitimate interest in keeping the mod private to the server.
- To run the server and keep it fair and safe. Game data, logs and IP addresses let us operate features such as sessions and the shared stash, investigate rule breaks and block abuse. We rely on our legitimate interests.
- To deliver this website securely. Our providers process technical data to serve pages and protect them from attacks.
How long we keep it
- Applications that are not accepted: deleted 6 months after we decide.
- Accepted creators: kept while you are a member of the server, then deleted within 30 days of you leaving.
- Download code records: deleted 90 days after the code expires if the mod was never activated with it.
- Activation records: kept while you are a member of the server. If your access is removed, they are deleted 90 days later.
- Attempt counters for download codes: deleted within a day.
- Server logs, including IP addresses: kept for 90 days, unless we need them longer to deal with a specific incident.
Your rights
You have the right to:
- see the personal data we hold about you
- have it corrected if it is wrong
- have it deleted
- restrict or object to how we use it
- receive a copy in a portable format
Email the contact email to use any of these. We will reply within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk. We would appreciate the chance to put things right first.
Children
You must be 13 or older to apply or play. If you are under 18, please make sure a parent or guardian knows you are applying.
If you think someone under 13 has sent us their details, email the contact email and we will delete them.
Cookies and storage
This site does not set cookies.
While you fill in the application form, your browser keeps a draft of your answers on your own device so a reload does not lose them. It never leaves your device until you press Send, and it is cleared once your application is sent. You can clear it at any time by clearing this site’s data in your browser.
Changes to this policy
If we change this policy we will update the date at the top. If a change affects how we use data you have already given us, we will tell you on Discord or by email.
